Position Summary
The Medical Records Retrieval Specialist (Part-Time) is responsible for retrieving, processing, and managing patient medical records in a timely and compliant manner. This role supports documentation needs related to Workers’ Compensation (WC), Motor Vehicle Accidents (MVA), and legal case coordination, ensuring that all medical record activity adheres to privacy regulations and internal policies.

The Medical Records Retrieval Specialist (Part-Time) is responsible for retrieving, processing, and managing patient medical records in a timely and compliant manner. This role supports documentation needs related to Workers’ Compensation (WC), Motor Vehicle Accidents (MVA), and legal case coordination, ensuring that all medical record activity adheres to privacy regulations and internal policies.
Key Responsibilities:
- Retrieve and prepare medical records for authorized external requests, including attorneys, insurers, and healthcare providers.
- Process documentation accurately and efficiently, ensuring compliance with HIPAA and applicable laws.
- Track pending requests and perform timely follow-ups to ensure records are delivered within required timeframes.
- Update and maintain accurate information in the electronic medical records (EMR) system.
- Verify balances and provide requested account summaries related to WC/MVA cases.
- Coordinate with internal staff to resolve discrepancies or documentation gaps.
- Work collaboratively with designated team members (e.g., WC/MVA specialists) to manage specialized accounts.
- High school diploma or equivalent required; post-secondary coursework in healthcare, billing, or medical records preferred.
- 1–2 years of experience in medical records or healthcare documentation preferred.
- Familiarity with HIPAA, privacy laws, and EMR/EHR systems.
- Strong organizational skills with high attention to detail.
- Ability to manage confidential information with professionalism.
- Effective communication and time management skills.
- Availability for part-time schedule; flexibility as needed for caseloads.
